Speed Weeding

When I help clients weed their files, I train them to do it as quickly and effectively as possible. I call this process “Speed Weeding,” and it works for both project and maintenance file weeding. The rules are:

Stay focused. Remember, “Weeding, not reading.”

Keep moving forward. No going back in the trash to rescue anything (unless you’ve accidentally discarded money or legal documents).

When to Weed

People are always asking me, “How often should I weed my files?” There’s no hard and fast rule—it depends on many variables. Some companies have records retention schedules and rules specifying when to weed, what to archive, etc.; others leave it up to the discretion of individual workers. There are people who swear by the “one file per day” weeding method (i.e., maintenance) and those who prefer annual file purges (i.e., projects). Still another option is the “In-Out Inventory Rule”—every time you go to file a paper, see if you can get rid of something else from that file.
